Terms & Conditions


  • Please provide the Team up to date with any information regarding any special needs or medical needs.
  • All members must have a valid membership with Welsh Gymnastics in accordance of our insurance policies. Any uninsured gymnasts will not be allowed to attend sessions until insurance has been completed. New members may attend two gymnastics sessions before Welsh Gymnastics Membership needs to be applied. Membership fees per annum are; Recreational Gymnast £23. Pathway & Performance Gymnast £49. For new members the Club will send you a Membership link to join.
  • Parents/guardians should avoid disrupting the lessons by communicating with the gymnasts.
  • Jewellery should not be worn and long hair must be tied back.
  • No jeans, zips, hard plastic headbands to be worn.
  • A water bottle should be provided.
  • Only block bookings are accepted.
  • Courses are non refundable for non attendance, holidays and illness. For new customers we allow a 48 hour reflection period after attending the first session. If the child does not wish to continue we will refund the course minus the first session and 5% platform fees.
  • Please arrive to sessions on time, school doors and gates may be automatically locked when nobody is stood at the gates and coaches be unable to leave to let late comers in.
  • Gymnastics Studios has a strict NO PHOTOGRAPHY policy for viewing guardians of gymnasts during the sessions. If you would like to take a photo please speak to the lead coach who will arrange an opportunity at the end of the session.
  • Gymnastics Studios does not accept liability for lost or damaged items that may have been left in the changing areas.
  • Gymnastics Studios has a child behaviour policy during lessons: if a child becomes disruptive, they will be given a verbal warning in the first instance. If this continues, they will be asked to sit on the side for a 5-minute cool-down period, so not to disturb the learning of others in the class. If bad behaviour persists, the gymnast will be asked to leave the class and return to their parents.
  • Smoking is not permitted in any of our venues.
  • Parents/Guardians are not permitted to be in the halls of Oystermouth and Pennard Primary Schools during sessions. Viewing is possible at Grange Primary and Tycoch Sports Centre.
  • All members of Gymnastics Studios are permitted to follow appropriate behaviour policies including: Child Protection, Anti-Bullying and Anti-Racism Policy.
  • In the event of a child being enrolled in the wrong class after our coaches assessment, we will try our best to accommodate a class swap to a more appropriate level (subject to availability), but no refunds will be given.
  • All of our TeamGym squad members (not Recreational Gymnasts) are required to commit to 2 competitions per year with at least 1 being 'away from home' and must purchase our competition uniforms.

Club Photography Policy

GROUP POLICY

It is not always practical to manage the exclusion of a child during group shots. Gymnastics Studios will ensure any identifiable images of the participant will not be published. Where practical, photographs will not be taken.

Guidelines;

• The Club will always check for parental consent before use of a child’s image for publication. Where possible please discuss with your child their wishes before giving consent.

• GS will ensure that gymnasts and/or the person with parental responsibility is fully aware, in advance of the details of where images of the gymnast may be published and are afforded the opportunity to object.

 • No personal information, other than their name and their club, will accompany published images (particular provisions apply in connection to photography at public events such as competitions and displays below).

 • While some editing of images is acceptable, images taken of gymnasts should not be modified, merged or manipulated in a way which might cause embarrassment or distress to the subject or cause the final image to be inappropriate.

• Care will be taken to ensure that images of children who are under a court order are not recorded or published without permission.

• Withdrawal of consent to use photographs/Images. In circumstances, where parental consent is withdrawn, the club will adhere to existing Data Protection legislation and guidance provided by the Information Commissioners Office. The Act states that where consent has been removed, the relevant organisation must conform to such a request within a reasonable amount of time. Whilst this is not further defined in law, the club will do so as soon as possible and provide confirmation to the parent(s) of such. GS recognises that there is a potential for abuse of any image placed on the Internet or within other forms of media. Although the exploitation of such images may be rare, BG has a responsibility to provide guidance on how images of children and young people should be used to reduce the risk of potential ‘grooming’. Those creating or administering websites should carefully monitor their content to eliminate the use of inappropriate images or improper text. When determining whether it is appropriate to publish a photograph on a website or another form of media, consideration should be given to both the potential for inappropriate use of an image and the possibility that an individual could make contact with a child by using any personal and club details placed on line. The following steps will be taken to reduce the risk from the publication of imagery:

• Will not use any personal details if it is possible from the image to ascertain a specific location, or there are any details on your site about the training venue.

• If it is not possible to ascertain any training or competitive location, consider using a first name only next to an image.

• The dress of a child will be considered when using the photo.

• Will not use images that can appear staged and potentially provocative.

 • Will avoid using images that appear to focus unnecessarily directly on the groin area in movements where legs are in a split position.

Events and Competitions

Gymnastics Studios competition entry forms will advise participants that photography and filming will take place at the event.

GS will also announce the photography/filming arrangements at the event.

GS will ensure that gymnasts/parents are informed of the photography arrangements for the relevant event.

Any gymnast or parent who does not wish themselves or their child to be photographed/filmed at the event must advise the event organiser. It is not always practical to manage the exclusion of a child during group shots. Gymnastics Studios will ensure any identifiable images of the participant will not be published. Where practical, photographs will not be taken.

Personal Photography

Gymnastics Studios does not wish to discourage the use of video or photographic equipment at events for appropriate use, but will take all reasonable precautions to protect gymnasts against the possible inappropriate use of films or photographic images.

British Gymnastics Photography Regulations require anyone organising a gymnastic event to regulate the taking of photographs and apply, as a minimum, the BG Conditions for Photography at Gymnastic Events. If the event organiser/welfare officer (or authorised representative of the event organiser/welfare officer) suspects inappropriate photography or filming, the officer/organiser should exercise his/her powers under the conditions to request the person to leave the venue and to surrender any film and/or delete any images relating to the event. Any person at an event, who has any concerns about any images being taken, by any person, should bring them to the attention of the competition organiser or other designated person.

Use of Video as an Aid to Coaching

 The use of video equipment can be a valuable aid to coaching. The points below should be implemented to safeguard against inappropriate practice:

 • Ensure that the performers and the person with parental responsibility are aware of the purpose of the filming as a coaching aid.

• Ensure that there is at least one other responsible adult present in addition to the person filming.

 • Ensure any video recording is stored securely to avoid inappropriate or unauthorised use and deleted when it is no longer require for coaching purposes
